**IRC Background:**

IRC opened an office in Seattle in 1976 and provides a continuum of services including intensive case management, employment and economic empowerment services, immigration assistance, health and wellness programming, and education support to refugee and immigrant families in Washington State. **Job Overview:**

The Safety, Health and Education Administrative Coordinator is a **part-time (25–30 hours per week)** role responsible for supporting the administrative and operational needs of the Safety, Health and Education Department. This position plays a key role in ensuring the efficiency, compliance, and financial sustainability of departmental programs through coordination, tracking, and reporting activities.

**Major Responsibilities:**

Responsibilities include, but are not limited to:

**Administrative & Program Support**

- Provide day-to-day administrative support to the Safety, Health and Education Department
- Assist in coordinating schedules, meetings, and documentation for department initiatives

- Maintain program records, files, and documentation in compliance with organizational and donor standards

- Support communication and coordination across program teams

**Quality Assurance & Program Monitoring**

- Assist in tracking and maintaining **quality assurance metrics** across departmental programs
- Support ongoing **program monitoring and evaluation** processes

- Compile and prepare data reports to support program outcomes and continuous improvement efforts

- Ensure accurate documentation and compliance with regulatory or grant requirements

**Financial & Budget Management Support**

- Assist with **invoice processing** and tracking expenditures
- Provide administrative support for **budget management systems**

- Monitor program-related expenses and assist in reconciling budgets

- Support development of program budgets, including data collection and documentation

**Grants & Funding Support**

- Assist in **grant writing activities**, including drafting, editing, and compiling required documentation
- Help track grant deliverables, deadlines, and reporting requirements

- Support funding research and contribute to efforts that sustain and expand departmental programs

Other tasks as assigned.

**Key Working Relationships:**

- **Position Reports to:** Health and Wellness Program Manager
- **Position Supervises:** No supervision

- **Other Internal and/or external contacts:**

*Internal:* other IRC Spokane and Seattle program teams

*External:* ORIA and other program funders

**Job Requirements:**

- Associate’s or Bachelor’s degree in public health, business administration, education, or a related field (or equivalent experience)
- 2+ years of administrative or program support experience

- Strong organizational and time management skills

- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, Teams)

- Experience with data tracking, reporting, and maintaining systems

**Preferred:**

- Experience supporting public health, safety, youth or adult education, or community-based programs
- Familiarity with quality assurance or program evaluation processes

- Experience with budgeting, invoicing, or financial tracking systems

- Exposure to grant writing and grant management processes

**Working Environment**\*\*\*:\*\*\*

- Standard, professional office environment (flexible remote and in-office)
- May require occasional weekend and/or evening work.

**Compensation:** ($27 - $32/hour). Ranges are based on various factors including the labor market, job type, internal equity, and budget. Exact offers are calibrated by work location, individual candidate experience and skills relative to the defined job requirements
